What Is the Format of a Resignation Letter?

A resignation letter serves as a formal document that a company keeps as a record for future reference. A formal document, a resignation letter should follow the following format.

  • In the upper left section of your letter, indicate the date when you are writing your letter.
  • Below the date, leave two spaces and write their personal details such as your name, address, phone number, and e-mail address.
  • Leave two more spaces and properly address the employer. Ensure that you spell their name correctly.
  • Your first paragraph informs your employer of the reasons why you are resigning from your job followed by your proposed end date.
  • The second paragraph may include an explanation for the reason why you are leaving. This is optional.
