There are favors you cannot repay with another. Sometimes, the best way you could show your appreciation is through a heartfelt thanks. This is where a thank-you letter would come in. A thank-you letter is a letter written and sent by one party to express appreciation to another party. Even if you could not repay someone for what they have done for you, you can at least reflect the thoughtfulness with the time and care you invested into sending a letter.

Why You Should Say Thank You

Since we were young children, we have been taught that it is of utmost importance to express our thanks whenever someone does something for our benefit. It has been instilled in every young mind that “thank you” is one of the two magic words.

It Serves as a Motivation

In today’s world, money is no longer the sole motivator for why employees stay and work for a company. A survey conducted by Glassdoor shows that 80% of employees work harder when their boss acknowledges their work and shows appreciation for a job done well. Additionally, a significant percentage of employees claim that they would most likely want to stay in a company where their boss appreciates their work. Allyson Willoughby, Glassdoor’s vice president, says, “Even inexpensive forms of appreciation, like thank you cards and treats, or offering flexibility like telecommunicating, show employees you value them.”

It Makes People Willing to Help You Again

An experiment was conducted by Adam Grant and Francesco Gino where they examine the effects of a “thank you.” In this experiment, they had 69 participants help a fictitious student named Eric with his cover letter. After they help them, Eric asks for more help with another cover letter. But here’s the catch: half of the participants received a thankful reply from Eric while the other half got a neutral reply. The results of the experiment showed that 66% of those who got the thankful reply were more than happy to keep helping Eric out while only 32% of those who got the neutral reply were willing to keep helping him.

It Boosts Your Mental and Physical Health

Studies have shown that acts of appreciation have beneficial effects on our health. Saying thank you, it seems, gives a huge boost to your immune system and decreases your stress levels. Additionally, it also strengthens your relationships with the people around you and makes your day a lot brighter.

  • Make sure you mention what you intend to do with the gift they gave you. It may make them feel good if they know that the gift is useful to you or that you like it.

  • Specifically address the person you want to thank by calling them their name. If you have a moniker just for each other, you could use this too to give the letter a touch of intimacy.

  • While there is no such thing as the proper time to send a thank-you letter (especially if there is still a lot happening after the day of the event), it is recommended that a thank-you letter is sent not more than 2 weeks after the occasion.

  • Make the letter as personal as possible. Avoid being too generic as most thank-you letters could be. If possible, handwrite each letter and mention something in them to make them feel less mass produced or store bought.

When CEOs were interviewed, they revealed that one of the deciding factors on hiring a candidate is whether or not they sent a thank-you letter for the interview. When writing a thank-you letter for an interview, take note of these tips:

  • Address the person who conducted the interview. This could be the recruitment officer, a manager, or the company’s CEO. Know what their name is, their position, and the name and address of the company you are applying in.
  • Keep it short and straight to the point. Your interviewer might have a lot on their plate and a long essay would be less appreciated than a simple letter containing a couple of paragraphs.
  • Have someone proofread your letter for you. A professional letter is one that is free of grammar and spelling mistakes. A letter of thanks full of errors might make the interviewer change their mind about you—and not in a good way.

Internship Thank-You Letters

Some interns work for free. Others are paid a minimal amount. Whether or not you are compensated for the work you do for a company as an intern, however, is not the question. Especially when interning for a big company, there is monetary value you could pin at the experience you could gain and the big plus of having that internship in your resume. Thus, it is only right that upon the end of your internship, you should at least leave a thank-you letter for the people who mentored you and showed you the ropes up close. Here are a couple of tips to keep in mind when writing a thank-you letter for internships:

  • Address the thank-you letter to each person you’ve worked with in the company. Send the letters individually. If you had multiple people guiding you and acting as your mentor, write them individual letters.
  • If you choose to type the letter, make sure to choose a font that appears professional.
  • On the other hand, if you have chosen to go the handwritten road, write clearly and legibly.
  • Whether typed or handwritten, do not exceed one page. Keep your thank-you letter short and straight to the point.
  • Mention some of the most important lessons you have learned under their mentorship. Tell them about how these lessons would be useful to you in the future.
  • Build bridges. Being an intern means you’ve got a small toe in the door. Leave your contact information with your mentors and tell them about how much you’d love to work in the company if you’d be given the chance.

When writing a thank-you letter, these are the tips you might want to keep in mind:

  • Send your thank-you letter as soon as possible. Within 48 hours after the event has taken place or you received a gift is ideal.
  • Be specific in your note so that your letter would feel personalized. Mention the recipient of the letter by name. State exactly what you appreciated them doing. Was it attending a special event in your life? Sending you a gift? Or simply being a friend when that was what you needed?
  • Be sincere with your thanks. Show your heartfelt appreciation for this person who went out of their way to make you happy.
  • Ask a little about them and express a desire to see them again soon or to catch up. This may seem like a generic closing paragraph to a thank-you letter, so only add this in if you actually mean it.
  • Sign the letter off with your name and handwritten signature.
