None of us got where we are alone. Whether the assistance we received was obvious or subtle, acknowledging someone’s help is a big part of understanding the importance of saying thank you.”

These were the words of Harvey Mackay, a self-made businessman, author, journalist, and motivational speaker. In all his accomplishments and all the hard work he put into his career, he still acknowledges that all his achievements were not solely his. He understands the importance of appreciating the efforts others put in to help us grow and achieve the greatness we so long for. It is important to note that behind every achievement is at least one person whom, without success, would have been impossible. That said, take a moment today to send a sample letter of thanks to the people who helped you get to where you are today.

What Is a Thank-You Letter?

There are favors you cannot repay with another. Sometimes, the best way you could show your appreciation is through a heartfelt thanks. This is where a thank-you letter would come in. A thank-you letter is a letter written and sent by one party to express appreciation to another party. Sending a thank-you letter, like these Personal Thank-You Letter Samples, is perhaps one of the most meaningful ways to express your gratitude. Even if you could not repay someone for what they have done for you, you can at least reflect the thoughtfulness with the time and care you invested into sending a letter.

Why You Should Say Thank You

Since we were young children, we have been taught that it is of utmost importance to express our thanks whenever someone does something for our benefit. It has been instilled in every young mind that “thank you” is one of the two magic words.

However, good manners is not the only reason why you should acknowledge the kind deeds done for you, and courtesy is not the only reason why you should appreciate the people who helped you when you needed it. There are many reasons why gratitude goes a long way. Here are just some of them:

It Serves as a Motivation

In today’s world, money is no longer the sole motivator for why employees stay and work for a company. A survey conducted by Glassdoor shows that 80% of employees work harder when their boss acknowledges their work analysis and shows appreciation for a job done well. Additionally, a significant percentage of employees claim that they would most likely want to stay in a company where their boss appreciates their work. Allyson Willoughby, Glassdoor’s vice president, says, “Even inexpensive forms of appreciation, like thank you cards and treats, or offering flexibility like telecommunicating, show employees you value them.”

It Makes People Willing to Help You Again

An experiment was conducted by Adam Grant and Francesco Gino where they examine the effects of a “thank you.” In this experiment, they had 69 participants help a fictitious student named Eric with his cover letter. After they help them, Eric asks for more help with another cover letter. But here’s the catch: half of the participants received a thankful reply from Eric while the other half got a neutral reply. The results of the experiment showed that 66% of those who got the thankful reply were more than happy to keep helping Eric out while only 32% of those who got the neutral reply were willing to keep helping him.

It Boosts Your Mental and Physical Health

Studies have shown that acts of appreciation have beneficial effects on our health. Saying thank you, it seems, gives a huge boost to your immune system and decreases your stress levels. Additionally, it also strengthens your relationships with the people around you and makes your day a lot brighter.

Now that you know just some of the reasons why you should show your gratitude, pick up a pen and start writing a letter (see Letter Examples) thanking someone for the opportunities they’ve given you, for being there for you, or for even for simply being your friend.

Gift Thank-You Letter

It is thoughtful of someone to go out of their way to buy you a present, make you a present, or send you a present. It is only right that their efforts are appreciated by sending them a thank-you letter to let them know that their act of kindness made a difference. Writing them a thank-you letter is just one of the many ways we can show our gratefulness. Here are some tips on how to write a genuine thank-you letter:

  • Specifically address the person you are sending the letter to. To make it more intimate, you can call them by their names or, if you have a special nickname for each other, you can use that.

  • Be specific about what the gift is so they know that the letter format was written especially for them.

  • Make sure you mention what you intend to do with the gift they gave you. It may make them feel good if they know that the gift is useful to you or that you like it.

  • Begin and end the letter by showing how grateful you are.

  • Toward the end of the letter, ask about them or what they’ve been up to. Invite them over if they live far away or express that you want to catch up. However, only do this if you mean it. You wouldn’t want to be caught making half-hearted plans.

  • Handwrite your signature in for a more personal effect.

Events Thank-You Letter

There are special moments in our lives that we choose to share with the people closest to our hearts. Be it a birthday, a wedding, a graduation, or some other important milestone, a special occasion is made even more special when the joy that it brings is shared and celebrated by the people we love.

It is also vitally important that we thank the people who shared in our happiness. One way we could do this is by sending them a thank-you letter that would let them know that you are glad they were there when you had a big moment to celebrate. Here are some tips on writing letter:

  • Specifically address the person you want to thank by calling them their name. If you have a moniker just for each other, you could use this too to give the basic letter a touch of intimacy.

  • While there is no such thing as the proper time to send a thank-you letter (especially if there is still a lot happening after the day of the event), it is recommended that a thank-you letter is sent not more than 2 weeks after the occasion.

  • Make the letter as personal as possible. Avoid being too generic as most thank-you letters could be. If possible, handwrite each letter and mention something in them to make them feel less mass produced or store bought.

  • Check out Thank-You Letter Templates to use as guides if you don’t know what to say. However, make sure you can personalize them so they don’t sound insincere and generic.

  • Handwrite your signature to give it a personal touch. You can also see more on Thank You Letters for Appreciation.

Interview Thank-You Letters

When CEOs were interviewed, they revealed that one of the deciding factors on hiring a candidate is whether or not they sent a thank-you letter for the interview. It may seem petty for a busy CEO to wait around for your email thanking them for their time, but even something as little as a thank-you letter can tell them a lot about the kind of person you are that a one-hour interview can’t. You can also see more on General Thank-You Letter.

When writing a thank-you letter for an interview, take note of these tips:

  • Address the person who conducted the interview. This could be the recruitment officer, a manager, or the company’s CEO. Know what their name is, their position, and the name and address of the company analysis you are applying in.
  • Keep it short and straight to the point. Your interviewer might have a lot on their plate and a long essay would be less appreciated than a simple letter containing a couple of paragraphs.
  • Have someone proofread your letter for you. A professional letter is one that is free of grammar and spelling mistakes. A formal letter of thanks full of errors might make the interviewer change their mind about you—and not in a good way.
  • Close the letter by thanking them again for giving you the chance to meet them about the job position you are applying for. Sign it off with your name and handwritten signature.

Internship Thank-You Letters

Some interns work for free. Others are paid a minimal amount. Whether or not you are compensated for the work you do for a company as an intern, however, is not the question. Especially when interning for a big company, there is monetary value you could pin at the experience you could gain and the big plus of having that internship in your sample resume. Thus, it is only right that upon the end of your internship, you should at least leave a thank-you letter for the people who mentored you and showed you the ropes up close. Here are a couple of tips to keep in mind when writing a thank-you letter for internships:

  • Address the thank-you letter to each person you’ve worked with in the company. Send the letters individually. If you had multiple people guiding you and acting as your mentor, write them individual letters.
  • If you choose to type the letter, make sure to choose a font that appears professional.
  • On the other hand, if you have chosen to go the handwritten road, write clearly and legibly.
  • Whether typed or handwritten, do not exceed one page. Keep your thank-you letter short and straight to the point.
  • Mention some of the most important lessons you have learned under their mentorship. Tell them about how these lessons would be useful to you in the future.
  • Build bridges. Being an intern means you’ve got a small toe in the door. Leave your contact information with your mentors and tell them about how much you’d love to work in the company if you’d be given the chance.
  • Sign the letter off with your name and signature. You can also see more on Formal Thank You Letter.

Tips For Writing a Thank-You Letter

tips for writing a thank you letter

Writing a thank-you letter format is not just a gesture of politeness but also an effective way to express gratitude and leave a positive impression. Here are some tips to help you craft a thoughtful thank-you letter:

  1. Be Timely: Send your thank-you letter as soon as possible. Whether it’s after receiving a gift, attending an interview, or following a helpful meeting, promptness shows your appreciation is genuine.
  2. Personalize Your Message: Address the recipient by name and customize your message to reflect the specific actions you are thanking them for. This personal touch demonstrates that your gratitude is sincere and tailored to them. You can also see more on Meeting Thank-You Letter.
  3. Be Specific: Clearly state what you are thankful for. Avoid generic phrases and instead detail the particular act or gift and why it was important to you. This helps the recipient understand the impact of their gesture.
  4. Express Sincerity: Convey genuine emotions in your writing. Your tone should reflect the warmth and sincerity of your appreciation. Avoid overly formal or cold language if the relationship is warm and personal.
  5. Keep It Concise: While it’s important to be specific and personal, keep your letter concise and to the point. A thank-you letter does not need to be lengthy to be effective.
  6. Mention the Future: If appropriate, mention how you hope to interact in the future or how you plan to use or cherish a gift. This can reinforce your relationship and show that you value ongoing interactions.
  7. Close Warmly: End your letter with a warm closing that matches the relationship’s tone, such as “With appreciation,” “Warm regards,” or “With best wishes.” You can also see more on Work Thank-You Note.
  8. Proofread: Before sending your letter, make sure to proofread it for any spelling or grammatical errors. A well-written letter reflects well on you and shows that you care enough to send your best.

These tips will help you write a thank-you letter that not only shows your gratitude effectively but also strengthens your relationships, whether professional or personal.

Personal Thank-You Letters

Gratitude, claims writer Richelle Goodrich, paints little smiley faces on everything it touches.

It may come in the form of a surprise, a gift, a kind deed, a favor, or by simply being there when you need and want them. Regardless of the hows, it cannot be denied that there is an incredible warmth when someone goes out of their way just to show you they care. And having our efforts acknowledged and appreciated elicits a different yet equally heartwarming kind of joy. Of course, what better way to show how much you appreciate someone’s efforts than taking the time to translate the beats of your heart into words and writing them a thank-you letter?

When writing a thank-you letter, these are the tips you might want to keep in mind:

  • Send your thank-you letter as soon as possible. Within 48 hours after the event has taken place or you received a gift is ideal. You can also see more on Invitation Thank-You Letter.
  • Be specific in your note so that your letter would feel personalized. Mention the recipient of the letter by name. State exactly what you appreciated them doing. Was it attending a special event in your life? Sending you a gift? Or simply being a friend when that was what you needed?
  • Be sincere with your thanks. Show your heartfelt appreciation for this person who went out of their way to make you happy.
  • Ask a little about them and express a desire to see them again soon or to catch up. This may seem like a generic closing paragraph to a thank-you letter, so only add this in if you actually mean it.
  • Sign the letter off with your name and handwritten signature.

For other kinds of letters you might want to write, check out our Sample Letters templates.

How do you express gratitude in thank you letter?

Be specific about what you’re grateful for, describe its positive impact, use heartfelt words to express your feelings, and mention how their gesture or gift has enhanced your life or work.

How do I start off a thank you letter?

What to say instead of thank you?

Expressions like “I’m so grateful,” “I really appreciate it,” “Your kindness means so much,” or “I’m truly thankful” can convey gratitude in place of “thank you. You can also see more on Personal Thank-You Letter.

Thank you once again for your support and generosity. Your kindness has made a significant impact, and I am deeply grateful. I look forward to staying in touch and continuing our positive relationship. Warm regards, [Your Name].
