In the corporate arena, business letters are crucial to the daily operations of any corporate organization. No matter how small a business is, it should subscribe to formal rules and procedures of managing businesses such as the sending of formal letters to associates, vendors, business partners, and employees. Resignation Letter

Employees come and go in companies. There are numerous reasons why employees would decide to resign from their jobs. The following circumstances usually prods an employee to tender his/her resignation letter:

  • when an employee no longer finds the company capable of adding value to his/her career growth and development;
  • when an employee has found another job opportunity that is more lucrative;
  • when an employee has found another job opportunity that allows him/her to grow and learn more;
  • when an employee has served the company for a long time and has reached the age that the company rules or state policies consider as the proper age for retirement;
  • when an employee has violated the company’s terms of contract or policies and thus voluntarily removed himself/herself from the his/her position;
  • when an employee has an ailing child, spouse, or family member whom he/she must take care of; and
  • when an employee is suffering from a medical illness, diseases, or injury that incapacitates him/her from doing his/her regular job functions.

Whatever the reason for resignation, it is crucial that an employee must first examine the governing rules and laws regarding proper resignation. Usually, there is a notice period before your resignation actually takes effect. Most of the time the notice period is 2 weeks before actual resignation. A notice period is importance because of the following reasons:

  • it allows the employee to have more time to look for another job,
  • it allows the employee to help his/her employer by training another employee to perform the job functions of the position he/she is set on leaving, and
  • it allows the employer/company to look for candidates or recruit job applicants who can fill in the position.

Immediate Resignation Letter

While it is proper to tender one’s resignation weeks before actual resignation, there are inevitable circumstances that force an employee to immediately resign from his/her job on the spot. In such cases, an immediate resignation letter is necessary. This letter should clearly state the reasons for such immediate resignation and the reason must be valid. It should not be born out of whim.

Retirement Notice Letter

Employees who have served the company for a long time deserve retirement benefits. Retirement should only be availed of when the following circumstances are present:

  • the employee has already served the company for a number of years that is equivalent to the number of years required of the company’s rules and policies before an employee may retire;
  • the employee is of the retirement age as specified by governing laws of the state regarding retirement; and
  • the employee has observed the proper notification and notice period before tendering his/her resignation letter.

A retirement notice letter is usually sent two weeks before actual resignation. This allows the company to make the necessary preparations for the retirement benefits that the prospective retiree would receive.

Vacation Leave Application Letter

A vacation leave application letter is a letter sent by an employee to his/her employer or human resource manager. The purpose of this letter is for the employee to apply for a leave. A leave could either be due to medical reasons, emergencies, or it can be a paid vacation leave. To know more about this letter, feel free to browse our website by using the search bar.

Letter of Recommendation

A letter of recommendation is a letter that states the qualifications of an applicant. Depending on the reason for such a recommendation, there are several types of recommendation letters and some of the most commonly written ones are the following:

  • Scholarship Grant Recommendation Letter – this recommendation letter is written to prospective scholarship grantors in order to convince them that a prospective student deserves a scholarship grant. This letter should contain the intellectual capabilities of the prospective student as well as his/her ability to persevere.
  • Academic Recommendation Letters – this letter aims to enlighten a school administrator regarding the intellectual capabilities of a prospective student. This type of recommendation letter is usually written by previous professor or employers.
  • Employment Recommendation Letter – this type of reference letter helps a job applicant obtain a job interview. This letter should enumerate only those qualifications that matches the qualifications required of the job position in the job posting.

Cover Letters

A cover letter is the letter that is attached to a job applicant’s resume. This purpose for writing this letter is to provide the hiring manager a brief overview of your resume. On that note, it should only be one page long. It does not need to be lengthy since the bulk of the information is in your resume. A cover letter should observe standard format of professional letters.

Interview Thank-You Letter

When you are applying for a job, the initial interview is the first step of the application process. After which you will wait for the letter from the hiring manager that either rejects your application or invites you for another job interview. Oftentimes, this waiting period can be excruciatingly agonizing, especially if you desperately want the specific job position that you applied for. Logically, at this period, your suffering would be made intense due to the fact that you have nothing left to do in order to convince the hiring manager of your eligibility for the position since you’ve already submitted your resume, cover letter, recommendation letter, and you already went through the initial interview.

The waiting doesn’t have to make you inutile; as a matter of fact, there is something you can actually do during this stage. You can write an interview thank-you letter to your hiring manager or recruiter. In this letter, you can state how much you appreciated the time and effort that he/she has expended to consider you for the job and that you wish that you will get the job. The most advantageous thing that you can gain from writing an interview thank-you letter is the fact that you have the chance to elaborate more on your qualifications, especially the ones that you weren’t able to emphasize in your resume and in your initial job interview. Also, by sending this letter, the recruiter would be impressed by your earnest motivation or drive to work for them.

Job Offer Letter

The job of a hiring manager or recruiter is not an easy one. You need to examine all the qualities, characteristics, and traits of all the job candidates applying for a specific job position in the company. That is why, when you finally decide which applicant is the perfect fit for the job, you need to be able to send him/her a formal job offer. A job offer letter contains your invitation for the applicant to work for your company. In this letter, you can specify the specific job position that you want him/her to fill in and the benefits and incentives he/she could reap should he/she decide to work for your company.

Job Offer Acceptance Letter

Naturally, when one receives a job offer, there are only two options: to accept or to reject it. When you decide to accept the job offer, you can do so by writing a job offer acceptance letter. This letter should contain the following information:

  • The Formal Greeting: Just like all formal letters, make sure you utilize legitimate and formal titles such as Ms., Mr., Mrs, etc.
  • The Thank-You Line: In the first part of your letter, state how thankful you are for the job offer.
  • The Acceptance Line: After thanking your recruiter, tell him/her that you wholeheartedly accept the job offer as well as the preliminary agreement regarding job conditions and salaries that were briefly mentioned during the job interview or the job offer.
  • The Reason for Acceptance Line: In this line, you can elaborate how you wish to add value to the company; you can also state how much you earnestly look forward to growing with the company.
  • The Closing Line: Like all professional letters, close your letter formally.

Job Offer Rejection Letter

In contrast to the abovementioned type of letter, a job offer rejection letter is sent when an applicant wishes to reject the job that was offered to him/her by a recruiter. This letter must contain the reason for such a rejection. It is also important to state how thankful the applicant is to be considered for the job and that one wishes the company to find the perfect fit for their company.
