Business Meeting Invitation Letters are sent depending on the invited. Inviting someone who does not belong to your company to come in for a meeting would require you to write a formal letter printed on a plain white paper of the proper size of the company stationery. Otherwise, a simple e-mail alert or a memo would do. On this, you would write the following:
- the date and time of the meeting;
- where the meeting will be held;
- who are invited to the meeting;
- what the meeting is regarding;
- the expected duration of the meeting; and
- if you will be providing refreshments, indicate that you are.
If you are inviting your employees, private persons, or people who belong to other companies for a social gathering, then a less businesslike letter would do. You may have an invitation card creatively designed by a graphic designer and printed on card stocks to be mailed. Include in your invitation card the following:
- the time and date of the event;
- the venue of the event;
- if there is a dress code and what it is;
- the purpose of the event;
- the theme of the event, if there is one; and
- if you are requiring an RSVP, include in your invitation a self-addressed and stamped envelope.
