Writing Work Resignation Letters

If the thought of resigning does not bring so much pressure to you, then maybe coming up with a well-written resignation will. Each employee who chooses to leave his/her job all have varying reason for coming up with the decision, which is the reason why one resignation letter template is not applicable for all reasons of resignation. This is why we want to share some of the tips that we have gathered for you and some of the things you need to remember when writing a resignation letter.

Open Your Letter Appropriately

You want to make sure you are able to maintain a balance between being friendly and formal letter. A safe opening to your letter would be Dear then followed by the name of your boss. How you address your employer in the company should be the same with how you would address him/her in the letter.

Be Clear

When your employer starts to read your job resignation letter, he/she should easily understand that you are trying to tell him/her that you are formally ending your employment with the company. Make it clear that you are not open for any counteroffer that they might have. You want to ensure that you are holding down your foot with your decision to depart from the company.

Proper Notice Is a Must

Standard would be to give your employer at least two weeks notice once you have decided to leave the company for good. State your proposed end date right after you state your intention of leaving your job. You can check out how to write a resignation letter with a notice period for more information about writing resignation letters with a notice.

  • “It is with regret that I intend to end my employment as [POSITION] from the company effective [PROPOSED END DATE].”

Let Your Employer Know Why

This is optional, but if you are open to the thought of sharing your reason/s, you may freely do so. However, if you are not comfortable to share it, such as if you are leaving because you are unhappy with the company, you can give a standard resignation letter to them a vague reason instead.

Offer Help During Transition

If you feel like you owe the company a lot, you may offer to help your employer during the transition period especially if the position you held with the company is especially hard to fill.

  • “I would be happy to offer some help to ensure that the transition goes smoothly and that operations will continue to continue to function as is even after my departure.”

Give Gratitude

Whether you are leaving on a positive note or otherwise, think of the positive and stay away from the negative. Thank your employer for all of the things that you have learned from being with the company. This will give your boss the impression that you have learned something from the company. Even if you think your boss does not deserve a single word of thanks, do this act as common courtesy. They did hire you anyway and that alone deserves a simple “Thanks.”

End on a Positive Note

Tell your boss that you are willing to keep in touch with them if they want to. You can leave your contact details in the last paragraph or write them after your typed name.

Close Your Letter Appropriately

End your letter nicely. You can either be formal or casual about it depending on the relationship that you have with your employer.
