If you are trying to introduce a product either to a set of customers or to a prospective business partner or investor, your letter should contain the following details:
The details of your company such as your address, the name and nature of the company and the products you are trying to sell.
The assets and recognition your company has received over the period in business.
And of course, the reason why you wrote the letter in the first place—what is in it for the client.
The last two items are your chances to sell and convince your clients of your company’s business acumen.
If on the other hand, you are stuck in certain situations where you have to introduce and explain yourself. For instance, you are an elementary school teacher who has written a failing mark on one of your students’ report card—you might have to gently discuss the seriousness of a child’s failing grade to his or her parents. Your letter should at least have the following elements:
the reason for writing the letter,
the matters that must be addressed to, and
the necessary practices or tactics to address or resolve the issue.
If you wish to introduce some important information about yourself, perhaps for trying to land your dream job, it basically contains the following:
where you came across their hiring information;
your name, educational attainment, and work experiences; and
the skills suitable for the position and why you should be hired.
