- You have to make sure that you send your thank-you letters as soon as possible. The sooner you send it, the better as it gives a more lasting impression. The longer it takes for you to send that letter, the less effective and gratifying that letter will be. Sending it between 24–48 hours after the encounter will be best.
- Remember that handwritten notes require more time and effort—plus, it will not be easy to correct mistakes with handwritten notes. Although handwritten notes with a nice calligraphy will be more memorable, for business letters, it is recommended that you print it out. It may be easier to email your thank-you letter, however, it might get lost somewhere in the piles and piles of business-related emails sent to your recipient. Handing the letter personally would work best.
- Greet the recipient according to the relationship you have with him/her. If you are writing a thank-you letter to your boss, a simple “Dear” would suffice. If you are writing to a colleague who is close to you, you may choose a to write a more personal greeting such as, “My dearest [name of recipient].”
- Immediately mention how grateful you are. Be straightforward with your reasons for being thankful.
- Explain the impact or significance of the favor or good deed the recipient did for you.
- You may include a compliment but make sure it is sincere. Do not force anything if you have nothing good to say.
- Establish a long-term relationship with the recipient.
- Restate your thanks.
- Wrap your letter. End it with “Best regards,” or just a simple “Regards.” Make sure to sign the letter with a nice pen. A blue or black pen will be great for these types of letters.
- Review and edit your letter accordingly. Make sure it is short and simple.
- Send your note immediately once you are confident with it.
