Job Functions of a Scheduling Coordinator in the Health Industry

A large percentage of scheduling coordinators are practicing their craft in the health industry. Naturally, this must be due to the fact that health industries are oftentimes complex organizations with multifarious branches/departments. In addition to that, health industries are burdened with the immensely heavy responsibility of preserving the life and health of individuals. This colossal responsibility presupposes a need for timely delivery of health-care services, which in turn necessitates the services of an efficient and meticulous scheduling coordinator.

In health-care facilities such as hospitals, clinics, and psychiatric centers, the following are the common duties of a scheduling coordinator:

  • answers telephone and either responds to client’s inquiries or directs caller to appropriate health-care personnel;
  • determines and records work assignments of physicians and nurses in computerized scheduler according to worker availability, job classification, and preferences;
  • adjust schedules to meet emergencies caused by increased client demands;
  • informs the appropriate personnel when appointments have been filled or cancelled;
  • collects and distributes paperwork, such as client check sheets, time cards, reimbursement forms, insurance documents, etc.;
  • enters staff and client information into a systematic database;
  • reminds staff/personnel of their appointments;
  • performs the preliminary interview of walk-in patients and make them fill out the necessary forms;
  • mans the front desk of the health-care facility if necessary; and
  • coordinates with accounting department in order to ensure that patients are notified of their bills and that they have made arrangements to pay their medical bills before checking out of the facility.
