Promotion recommendation letters may be used for external or internal promotions. When creating a letter of recommendation for promotional purposes, it is important to highlight the reasons why the person should be moved up in the company as well as details that support those reasons.

For example, if you are a supervisor for a customer service agent and you are writing a letter recommending the employee for a supervisory position within the company, you might want to first mention how you are related to the employee. An example would be, “As Jane Doe’s supervisor for the past three years, I have had the opportunity to work with her on a day-to-day basis and I am confident that Jane has the qualities that will enable her to transition from a customer service representative into the head supervisor of their team.”

The next step would be to point out instances that would further support your belief in the employee’s ability to handle bigger work responsibilities. These supporting details are necessary because they will technically serve as tangible proof of your confidence in the person to deliver the work expected of him once he is promoted. For example, “Jane has exuded leadership skills throughout her time as a customer service representative. In the previous years, Jane has been asked to temporarily supervise some of our new recruits to help them improve and learn the reigns of our customer service policies and regulations. Jane has also embodied our company’s philosophy to provide compassionate and holistic care toward our clients.”
