What Are the Different Types of Memos?
There are five main types of memos that exist. Each type is discussed in brief below for your convenience.
- In every meeting there will always be someone who is assigned to take down notes or write the minutes of the meeting. This is done in order to document and record the agenda or all that has been discussed in a meeting, including problems and how they are solved.
- A progress report is used to provide details about what progress has been made to a certain project or development. This progress report will serve as a record that you did this much progress within the specified amount of time.
- A directive memo is written and communicated along with the policies and procedures that you want your subordinates or other employees to follow.
- A trip report memo consists of the purpose statement, the summary and discussion and the action being taken. This memo is written by an employee after they return from a business trip either from another branch or another country. This report should be submitted to their immediate superior and to other company officials.
- An incident report is a type of memo where the details of an unusual event within a facility or organization is recorded. You may also find our office memo templates useful.

What Are the Standard Parts of a Memo?
- The heading of your memo should include the recipient’s name, the date, the name of the sender, and the subject of the memo.
- The opening part of the memo provides the context of the memo and the purpose for having the memo communicated.
- The body of the memo is where you write the details about the said memo and other specific instructions that you want to include.
- Write a closing message before completely ending your memo. You can include the action that you want the recipients to take in relation to the memo. Be as courteous as possible.
- Attachments and other additional information should also be included for the recipients to read.

How to Write a Standard Business Memo?
- Put a label on your memo so that it will be easily identified, just like the one in our memo format example.
- Write your heading, including whom it will be sent to, who sent it, the date, and the subject.
- Carefully think about the subject line for your memo.
- Write the body of the memo as detailed as you can but as brief as possible.
- Do a spell-check and also proofread your work.
