How to Write an Effective Letter of Intent

1. Research. Before you can write a letter of intent, you need to be able to know more about the individual, corporation, or organization to which you are addressing your letter to. For example, if you are applying for a job, you need to research about the job description of the specific job position that you are applying for, as well as the culture of the company. You can do your research by searching the Web, making phone calls, asking pertinent individuals personally, or by visiting the business place or university yourself.

2. Determine the name of your recipient and other information. Your letter would be more effective if you show your recipient that you have conducted enough research to know their names as well as their positions and other relevant information.

3. List down the details that you need to include in your intent letter. Make an outline first of the flow of your letter of intent before diving in to your writing.

4. Observe standard formal letter format. To know more about the standard format, download our templates on this page for these would provide you with the specific layout of the different types of letters of intent.

5. Write the heading and salutation.

6. Start your letter by stating clearly your intent for writing it.

7. Explain when necessary. If the intent of your letter is to apply for something, then you need to emphasize your positive qualities, skills, educational, and employment history, as well as all your unique achievements, in order to obtain the specific grant or position that you are applying for. On the other hand, if you are offering a contract, accepting, or rejecting it, you need to clearly state the terms of such a contract or the reasons for your rejection or acceptance of it.

8. Provide your contact details. Of course, when you are writing a letter of intent, you expect a response from your recipient. Most individuals are too busy to send their replies or make clarifications through a letter, that is why it would be to your great advantage if you give them the option of calling you through you mobile number or responding through email.

9. Close your letter formally.

Various Types of Letter of Intent

The following are examples of the most commonly written letters of intent:

Residency Letter of Intent

A residency letter of intent is usually sent by medical students or graduates of medicine who want to comply with their post-graduate internship or residency requirements.

Residency is a type of internship specifically for medical students and/or graduates of medicine. Depending on the laws of the state regarding medical internships, a residency program may have various requirements and qualifications for prospective resident-applicants. A medical student or graduate who wishes to have his/her residency at a certain hospital or clinic must submit a residency letter of intent to such establishments/health-care institutions. This letter should include the following information:

  • which school or university he/she studied medicine;
  • if a graduate, the date when he/she graduated from the School of Medicine;
  • other educational background (name of schools, years when studied, courses taken, etc.);
  • relevant medical skills;
  • certifications that are pertinent to the practice of medicine;
  • his/her career goals that should, of course, emphasize that he/she intends to practice medicine and that it is his/her chosen vocation;
  • the duration of time when he/she intends to have his/her residency in the hospital or clinic that he/she has sent his/here residency letter of intent;
  • the specific skills and lessons that he/she looks forward to or expects to learn should he/she be granted the opportunity to become a resident in a particular hospital or clinic; and
  • the specific services and other commendable attributes that he/she intends to utilize in order to add value to the hospital’s operations and success.

Graduate School Letter of Intent

A graduate school letter of intent is a type of intent letter that is sent by a prospective student who wants to study a graduate degree program in a certain university. Graduate school can be tough institutions to get in to, especially if you are applying in a top-notch and well-known university.

In order to gain the attention of whomever is assessing the graduate school applications of a university, you need to send a graduate school letter of intent that contains the following:

  • a clear statement of his/her intent to apply for a certain program in the university;
  • the academic achievements of the graduate applicant;
  • his/her knowledge and accomplishments that are directly related to the course or field of study that he/she is applying for;
  • an enumeration of other attributes that could increase his/her chances of getting in the graduate program aimed for (sharp critical thinking skills, effective study methods, perseverance, academic integrity, and drive for excellence);
  • it would also be helpful if he/she mentions his/her career goals or vocation that must be related to the course he/she is applying for. This way the university administrators can gauge how the level of motivation the applicant has in completing the coursework.

Internship Letter of Intent

Most graduating college students are required to complete an internship program for a whole semester or two. Internships can be a source of good resume material in the future career endeavors of the students. That is why most students aim to take their internship in prestigious institutions and corporations in order for them to have a good internship background and experience. When applying for an internship, a student must create a well-thought-out internship letter of intent.

Job Application Letter of Intent

A job application letter of intent is somewhat similar to the cover letter. The only difference is that the job application letter of intent gives the applicant more freedom to elaborate more on his/her qualifications. Unlike the cover letter that only allows applicants to indicate the most relevant qualifications, in the letter of intent, he/she may opt to include other unique attributes and experience that have contributed to his/her character as a whole. In other words, a letter of intent is a more personal approach of convincing a recruiter that an applicant is the perfect person for the job applied for.
