The Types of Reports
There are many kinds of reports that one will be asked to do. For example, there are feasibility reports, credit reports, research reports, and so on. These, however, can be classified into just two types: informal and formal.
- Informal Reports – These types of reports are usually not as long as the formal ones. They usually come in just one or two pages. It is not as strict in formatting rules as the formal ones and they can even be in just a letter or memorandum form. The contents of this kind of report are usually about routine events within the organization and, hence, can be more controversial and less official than the formal reports. An evaluation report and a progress report are examples of this type.
- Formal Reports – A formal report is much more lengthy as it contains an in-depth investigation about the topic. Since it is more official, as opposed to the informal ones, a certain format needs to be followed when making one. While informal reports focus on routine topics, formal reports delve into much more complex subjects. Some examples of formal reports include a safety report, an audit report, and an annual report.
What Makes a Good Report?
Chances are, you have made a report at some point in your life. It is not easy. There are many things that need to be considered, and it will take a lot of your time. You really have to dedicate time and effort when taking on the task, that is, if you want to do a report that is as comprehensive as possible. There are certain elements that elevate a decent report to a great report and they are listed below.
- A good report has clarity of thought. You read a report to be enlightened about the given topic, not to become more confused than before you read it. A good report needs to be in a language that is clear and easy to understand. There is no room for ambiguity in making reports.
- A good report is factual. The contents of the report need to be reliable pieces of information. It needs to be based on factual data that were gathered from reputable sources. The findings, conclusion, and recommendation that is placed in the report need to be backed up by facts.
- A good report is presented in a lucid style. The report should be easy to understand and one way of doing that is through maintaining a logical order in the sections. It should create interest in the reader just because of the lucid way in which it is presented and written.
- A good report is comprehensive but compact. The report needs to contain all the elements that should be present in any report. It should contain all the necessary data to support your results and conclusions. That said, it should also be a compact document. You need to present all these information in a concise manner.

Reports Are for Everyone
Almost virtually everyone can make a report. At some point in our lives, we were asked to make one—or maybe even more. There are different kinds of reports that one may be asked to do and they are done for a variety of reasons. Listed below are some of the people which can put our sample reports to good use.
- Students – The school is basically the first place where most of us are introduced to the world of report-making. As students, we were asked to make narrative reports, book reports, research reports, and so on.
- Employees – The second place where people are asked to make reports are usually in the workplace. Employees always make these reports and put up a presentation or make a proposal.
- Senior Executives – It is not only the employees that are expected to make reports. Even C-level workers in the organization are also tasked with making reports. CEOs and vice-presidents are often asked to make reports to the board.

Examples of Reports
As previously stated, there are many kinds of reports, depending on the topic and the industry it is in. Some of these reports are listed below.
- Project Report – A project report is a report about what was done in order to complete a certain project.
- Annual Report – An annual report is a comprehensive record of all the things about the company from the previous year. It is a necessary report on the status of the company is often reflected in these reports. Some of the elements one would see in an annual report include the auditor’s report, the director’s report, and a statement from the chairperson. The financial statements from the previous year are also reflected in an annual report.
- Narrative Report – When explaining a story, one may be asked to do a narrative report. Since you are narrating a story, you must keep in mind that the events should be narrated in chronological order.
- Audit Report – After an audit, the auditor is expected to put all of his or her findings in writing through an audit report.
- Research Report – A research is one of the most basic forms of study and so a research report is one of the most common reports that is done.
- Daily Report – This report is updated every day and chronicles the tasks accomplished by employees on a given day.

The Report Format
Reports are very important records for any organization. They are often the means by which decisions in the organization are based upon. They are based on factual data and so the results of these reports are often very valuable for the organization.
Report writing is best done by dividing the topic into sections, headings, and sub-headings. Because of their formal nature, reports then need to follow a certain format. However, reports are done for different industries and for a variety of topics so having a uniform format for all reports is not possible. There are however some elements that are present in every report and they are listed below.
- Title Page – When formulating a title for your report, make sure that you effectively capture what it is truly about. It needs to convey a clear description of the study that was done. You could add a tagline to the title so that it covers the subject more accurately. However, the title provided needs to also be concise. This is also the place where the names of the people involved in the study are listed.
- Abstract – The abstract also needs to be concise, so make sure to not go into details. This is the part where you give the readers an overview of the whole study. State the results of the whole study, the conclusion you have formulated and the recommendations that you have made to solve the problem.
- Introduction – This is the part where you will give your readers a background of the whole research. State the problem or the situation that needs to be solved and then explain how the problem came to be. This is also the part where you state the purpose of the report.
- Discussion – This is an important part of every report as this forms the body of your report. Make sure to clearly present all the data that you have gathered, the method in which you were able to obtain the data, and so on. The data that you have gathered from your research should be able to fully support your findings and the conclusions and recommendations that you made.
- Summary of Results – This is where you will state the results of the whole study. It would be best if you present your results in a manner that will be easily understood by your readers. You can present them in graphs, charts, and tables. You can use these blank spreadsheets in analyzing your data.
- Conclusion – You need to summarize the whole report in this section. You need to state again the thesis and then explain what the whole research study has accomplished. also mention the significance of the study to other people, to the organization, and so on. The aim of the conclusion is to make your readers think about what they have just read. Be sure to accomplish that.
- References – Be sure to cite all the sources that you have used throughout the whole document.

Dos and Don’ts of Making a Report
When making a report or any document (e.g., requisition forms, police resumes, etc.), there are certain things that should be observed. Making a report should not be just based on pure logic. You need a lot of research in order to come up with a sensible one that contains useful data. There is also a format that would need to be observed. We get that report writing is not easy. That is why we have compiled a list of guidelines that you can use when you are making your own report.
- Be concise and comprehensive at the same time. This is a tricky situation when writing a report. You need to present all the relevant information that you have gathered but also keep the document compact. Be sure to keep a balance between the two. Only include a part or data in your report hen they are necessary information that could support your results, conclusions, and so on.
- Write with the reader in mind. Writing is much easier when you know exactly who you are writing to so be sure to determine first your target readers. Also, when you know your readers are not that familiar with the subject matter, you need to avoid “jargon” or the internal language of the organization.
- Don’t be unprofessional in your writing. A report is a formal document and you need to keep it that way. Even if you have good intentions about it, do not include anything in the report that the reader could consider discriminatory or offensive. Do not also include any sarcasm even as a joke. Keep the whole document formal and professional.
- Don’t generalize. The rule of reports is to be as specific and detailed as possible. Do not generalize or be vague when writing one.
- Ask other people to read your work out loud. Be sure to review your work by letting a fresh set of eyes look at the report. They will see problems with the report that you are not able to see. Also, try reading it out loud, you can also pick out issues that you haven’t seen before by just reading it.
