Quotation proposals are documents that contain the estimation of prices for specific products and services that a potential buyer needs for a particular project. This document is prepared by a business associate, staff, or business owner and subsequently sent to potential buyers. In order for a sales contract to arise, the potential buyer or customer must formally accept a quotation proposal.

What Are the Essential Parts of a Sales Quotation?

  • Header, which basically means that the word “Quotation Proposal” is placed at the topmost center part of the document’s first page in order to notify the potential buyer immediately as to the type of document that he/she is perusing.
  • Name of the business
  • Name of the potential buyer or customer

How Important Are Quotation Proposals?

Usually, potential buyers want to avail the cheapest items without compromising the quality of the products/services. It is for this reason that a bidding is held in order for them to assess which potential supplier can best provide them with their needs. Upon bidding, the potential suppliers would provide the potential buyer with a quotation proposal or a sales quotation. A quotation proposal is not final, it allows potential buyers to haggle with the price. Since a quotation proposal does not give rise to legally binding sales contract, a potential supplier may choose to acquiesce to the potential buyer’s price preferences. Also, potential suppliers would have enough time to consider buying from other distributors in order to avail cheaper products that can be sold at a price that the potential buyer agrees to. Another benefit of sending a quotation proposal is the fact that the customers have more options when it comes to the specific materials that can be used for the project as well as the terms of payment and mode of delivery that they prefer.
