A purchase quotation request is a document that consists a request from a potential buyer to a potential seller for a purchase quotation. What Is a Purchase Quotation?

A purchase quotation is a document that consists of a list of the items that a particular potential buyer would need. This list also includes the corresponding prices of each item. A purchase quotation is most useful during biddings in which the potential suppliers would eagerly compete with each other in order for their quotations to get chosen or accepted by a potential buyer. Though a purchase quotation is not an essential document for each sales contract or for the issuance of a sales order, in cases however, when a purchase quotation is issued, it is logically before any type of final agreement between potential buyer and potential seller has been acquiesced to by both parties.

A purchase quotation must have basic parts that must necessarily be present in every purchase quotation. Some of those are the following:

  • At the topmost part of the document, the words “Purchase Quotation” should be written at the center and in bold letters. This is to show the potential buyer immediately what type of document that you are sending him/her.
  • The name of the company or business making the purchase quotation
  • The address and contact details of said company
  • Name of the potential buyer and other buyer details
  •  A list of the items that the potential buyer might want to purchase
  • A list of the items’ corresponding prices.
  • A column for special instances when a potential seller would allow discounts if a potential buyer opts to buy a particular item by bulk or in large quantities
  • Payment terms
  • Possible taxable amounts
  • Expiry date of quotation. A purchase quotation must have an expiry date (usually 30 days) since economic factors can affect the inflation of the prices of commodities.
  • Total amount of estimated costs
