This is called quantitative assessment and is used by most businesses in their program for continuous improvement and adhering to International Standards Organization (ISO) specifications.

Supplier evaluation is necessary for a lot of companies specifically those engaged in manufacturing and export processing. Among other things, evaluations are done to minimize any underlying risks like a supplier not being able to supply much-needed materials in parts of the year when a company goes into full production. Evaluations are also done to reduce costs and improve the supply workflow and prevent any work stoppage that may incur the company losses where otherwise they wouldn’t have had.

Purchasing departments in companies usually do the evaluation process since they are the direct contacts of suppliers. These are usually done on a yearly basis and form part of the pre-qualification process for new suppliers. Questionnaires are often handed out based on a standard five-point basis that are found in our samples. Aside from handing out questionnaires, the purchasing supervisor may conduct interviews and conduct on-site visits to the supplier’s facilities to determine its financial capacity, organizational structure, and adherence to quality assurance purposes.

Other companies implement supplier performance management wherein results of the evaluation are made a basis for either a supplier’s approval or being declined if it fails to satisfy one or more of the requirements. Evaluations may then be done on a regular basis to ensure suppliers are able to adhere to all of the company’s objectives.

Supplier evaluations are very important for companies who need to maintain their level of competency especially when competition from other companies are at an all time high. An effective supplier evaluation benefits the company by preventing poor supplier performances and failure to deliver. This is also to ensure only suppliers that provide the highest possible standards of performance are chosen and high standards of product and service are being effected throughout the whole supply chain.

Of course, suppliers who meet these criteria may not necessarily come in cheap. In Japanese companies, a program called Kaizen costing is implemented to make suppliers find the best possible ways of cost-cutting and keeping costs at a minimum while maintaining the best possible quality standards.
