After the sale agreement, the business and the customer are then both obligated to comply with their corresponding obligations. The obligation of the business is to deliver a good or perform a service.

Meanwhile, the customer’s obligation is to pay for the service or good availed or procured. Upon the moment when a customer has made his/her payment, it then falls upon the shoulders of the sales clerk to provide the customer with the proper document that can serve as proof that he/she has complied with his/her obligation to pay. This document is called the business receipt.

How to Create a Basic Receipt

A basic receipt is fairly easy to create as there are hundreds of sample receipts templates available in the Internet for you to follow. To help point you in the right direction, here are some guidelines for you to follow:

  • Label your receipt. This is an important part because it will be easier for you to identify this document whenever you need for reference in the future. Not only that, your customers would also find it easier to recognize the document as well. Labeling helps record-keeping and archiving easier. Examples of labels you can write on your receipt are the following:
    • “House Rent Receipt”
    • “Rental Payment Receipt”
    • “Advanced Payment Receipt”
    • “Deposit Payment Receipt”
    • “Receipt”
  • Write your business letterhead below the label. This is essential not only for easy recognition of the document but most of all, it is important for your company branding.
  • Then create fields or spaces to be inputted with the information of your customers such as:
    • Name
    • Address
    • Contact Information
  • After the customer’s basic information, make an itemized list for the item being purchased by your customer.
    • If it’s a service, create areas or fields for the following:
      • the name of the service
      • the date it is to be performed
      • the service fee
      • the staff who are assigned to or have performed the service
    • If it’s a product, create areas or fields for the following:
      • the name of the product items
      • the price per unit
      • the quantity
      • the total price per item purchased
  • After that, you have to dedicate another section for other fees such as but not limited to:
    • taxable fees
    • delivery fees
  • Then provide a space for the total amount that must be paid by your customer.
  • Then you may include a terms and conditions section if you deem it necessary. In most cases, this part can be done without. However, if you are selling costly items such as vehicles and real estate, then this section is necessary.
  • Lastly, provide a space for your customer’s signature.
