What Is an Employee Warning Form?

An employee warning form is a form that is issued by an employer, department head, or human resource manager to an employee when such employee has conducted himself in such a way that is considered as unacceptable based on the company standards and policies.

Various Grounds for the Issuance of Employee Warning Forms

  • When an employee has failed to perform the job functions and responsibilities that are expected of him/her. Such responsibilities were being made aware to him/her by the manager or employer from the moment he/she is first hired through the discussion of his/her job description; otherwise, if there was no orientation regarding the basic functions of the employee, then this ground cannot be availed of by an employer.
  • When an employee has caused chaos and unnecessary conflicts within the workplace by lying, deceiving, or inducing other employees to misconstrue another employee’s words, actions, or intentions.
  • When an employee has damaged a property or equipment owned by the company.
  • When an employee has taken advantage of the company facilities and resources for personal gain.
  • When an employee has violated one of the important rules and regulations of the company.
  • When an employee has incurred too many absences without justifiable cause and has duly consumed all his/her leaves that the company has allowed for each employee per month.

Importance of Employee Warning Form

Employee notice forms are important for record-keeping since this will give you data on how often a certain employee had been served with such a form as well as the immediate response of such an employee after receiving such notice.

Similarly, due to these forms, it will be easier for managers to make a decision whether or not an employee deserves to be terminated or not depending on the recurrence of his/her misconduct and the type of response that he/she has provided after such warning.

When a manager decides to terminate an employee because an employee has failed to correct his/her misconduct or violations despite a forewarning, then the manager would have a legal right to terminate the employment of such an employee.
