What Is the Difference between a Sales Order Form, an Invoice, and a Quotation Proposal?

A sales order form is the document that a sales clerk or agent would ask their prospective customers to fill out right after a customer has expressed his/her intention to make a purchase. In this form, the customer would input the items that he/she wishes to purchase or avail. Then the quantity would then be written as well. After a customer has filled this out, the sales agent or clerk would process the order.

Meanwhile, an invoice is the document that a sales agent gives to a customer after a customer’s order has been processed. It serves as a formal request for payment of the items purchased or availed.

On the other hand, a quotation proposal is a document that contains a long list of the products or services together with their corresponding prices. A quotation proposal may be submitted upon the request of a prospective buyer. It can also be submitted out of the voluntary will of the company or business preparing it whenever they can perceive a need to do so. Most of the time, a sales quotation proposal is submitted during an official bidding process.

What Is the Purpose of a Purchase Quotation?

  • A purchase quotation allows businesses to communicate their offers in a formal and clear manner. This is so since purchase quotations are standardized in format hence it properly guides the quotation writer to input only those necessary information pertaining to the products and services that he/she is offering to a prospective buyer.
  • A purchase quotation can increase the chances of a customer entering into a business agreement with a business. Since purchase quotations are created in such a way that it has all the necessary terms of a sales agreement (e.g., prices, discounts, delivery methods, and payment methods), then it becomes easier for customers to gauge their capability to purchase the products that they need. Hence, customers would know which items’ prices they may want to negotiate with the business submitting the quotation. This way, the business side as well can differentiate which prices can be reduced without them losing profits. When both the business and the prospective buyer agrees to a certain price that is profitable to both of them, then that is when a sales agreement is usually formed.
