In simple terms, a project handover is when a particular project of an individual or organization is being transferred to another. However, the success and failure of the turnover are dependent on how the outgoing project handler hands over the project so that the continuation of it will go smoothly and without any issues. Thus, the transition plan should be seamless so that the goals set for the project will be achieved and quality will be upheld. To add to the formality of this document, sometimes an agreement of transfer is used to solidify the handover.

How to make your project handover a success

Even though handing over a project means transferring the responsibilities to the next person of what goes in the project, not taking it seriously can be detrimental to the success of the project. If not executed successfully and if project communication fails, it may not only ruin the quality of a current project but may also affect valuable relationships with business partners and clients. To avoid these issues, here are some steps you can take on how to hand over a project successfully.

1. Fully know the details that need to be transferred

To preserve the momentum of success of the project, everything should be accounted for in the project including those that indirectly handle the project to its entirety such as the management and financial aspect of it. In order for the next project handler to know the financial status of the project, the sales and financial aspects of the project work should be explained in detail and necessary documents should be transferred to the new project manager.

As one of the leaders of the new team who will now continue the project, you need to know what has been done and finished so far in the project and what needs to be done further to finish the remaining target part of the project according to the sample timeline of the project. Also, it is significant to have a clear understanding of what parts of the project so far that need changing and revisions.

2. Set a time and date of the formal meeting to discuss the handoff

At this time, since you already know the details of the project, gather all your team members who will work on the project and discuss the project among them. In doing this, your team members will not only know the details of the project but most importantly so that they can give their thoughts and opinions which can be valuable to the success of the continuation of the project. For this purpose, a continuity plan can be created to guide the team at exactly which parts of the project they should work on from where the previous team left off.

The meeting schedule can be done through online messaging platforms or better yet in person to discuss the salient parts of the project as well as the important dates pertaining to achieving certain milestones for the project such as deadlines and appointment dates.

3. Conduct the transition and project handoff

Project handover doesn’t happen overnight and may sometimes last for several weeks or even a few months depending on the scale of the project at hand. The weeks and months spent for the transition are broken down into small pieces of sample paper work on the project which may seem insignificant at first but is a necessary step to finally adapt to the works that need to be done for the project.

This is done because information overload can be stressful to the team that’s why the management should be able to handle the amount of workload that comes. Also, the transition will allow the gradual allocation of manpower for the new project. Thus, human resources management is done in an effective manner and should not be taken for granted by the project management.
