What Is a Sales Quotation?

A sales quotation is a particular business or sales document that a potential supplier or service provider gives to a potential buyer or customer. This document contains a specification of the price estimates for each specific product or service that a potential buyer/customer may need for a particular project. In normal settings, a sales quotation is sent to a potential customer in response to a letter asking for a sales quotation.

This said letter that asks for a quotation is sent by a potential customer to a potential supplier/service provider. This letter contains an enumeration of the specific items/services that he/she wishes to procure. The quantity is also specified as well as the date when those items are needed should the buyer decide to buy from the business.

For a more in-depth understanding of what this document is, refer to our templates on this page.

Difference between a Sales Quotation and a Sales Order

A lot of people can be mislead into believing that a sales quotation can serve as a sales order and vice versa, when in fact these are two very different types of document that are used for different purposes.

As discussed, a sales quotation is merely an estimation of the cost for particular items that a potential buyer is thinking of procuring. When a sales quotation is received by a potential buyer, it does not give rise to a sales contract. There is no responsibility on either party to either make payment or deliver the services/products that are enumerated in the sales quotation. On the other hand, a sales order serves as proof of a sale contract. It is implied that before a sales order is issued, there has already been a mutual agreement between the seller/business and the customer regarding the sales specifics (delivery date, payment terms, and item prices). Therefore, when there is a sales order, the business/supplier must provide the products or services that are contained in the sales order; also, the customer is legally bound to make payment for the said items.
