Types of Charts

There are different kinds of charts available for use and each type has a specific use. Certain kinds of data can be represented well by a certain kind of chart. Listed below are the different types of charts and when to best use them.

  • Comparison Charts – The point of this type of chart is to make a comparison, as its name suggests. For instance, you have data for two or more things. By putting those data together in one chart, you are able to make a comparison and see a pattern. Examples of this type of chart include bar and line charts.
  • Distribution Charts – This type of chart is useful in interpreting survey results. For example, when you have choices given for a certain question, using distribution charts would illustrate how many people chose option A, option B, and so on. An example of this is scatter plot charts.
  • Trend Charts – The above charts also show trends, but there is a special type that specifically does this purpose such as line charts.
  • Composition Chart – This type shows how much of one substance is present in the whole compound. Some very good examples of this are pie charts, Chore Charts, and Blood Pressure Charts.

How to Create a Chart

As previously stated, charts are a very good visual representation of data. Through them, one can make conclusions about a certain thing and even make decisions based on the results of the charts. It is imperative then that people, especially business people, learn how to make charts. This is a skill that every good business person should learn.

There are many types of charts as discussed in the previous section. There are Organizational Charts, Seating Charts, pie charts, and so on. There are also different ways of making a chart, from manually making them to using more advanced chart software programs. However, for this purpose, we will focus on making a chart on Excel as it is the most commonly used program in chart-making. Follow the steps below in making a chart in Excel.

  • Input your data in Excel. The first step is to type your data into the cells. Make sure that each row represents only one type of data. You can’t mix them as that would destroy the data and you would not get an accurate result. You can input them manually or export them from another program.
  • Choose the chart you want to make. Again, certain data would be best represented by a certain type of chart, so choose carefully. Click on the Insert tab and then click Charts. The chart options will appear and choose which one you prefer.
  • Edit the labels and legends. Click the Layout tab on the chart. This will enable you to rename the legends and the labels on the chart. By having proper labels on each part of the chart, there is no room for confusion when interpreting the data.
  • Do the necessary adjustments. Now that you have generated the chart, it is time to edit it according to your preferences. You can edit the measurements on your chart, reorder data, and so on.

Guidelines in Preparing Charts

There are things you can do to make your charts look more attractive. Below are some guidelines to follow in order to prepare an effective chart that is easy to understand.

  • Pick the right graph. Making a graph is like telling a story. Make sure your story is accurately and effectively conveyed by picking the right graph to represent your data.
  • Be sure to provide labels. Charts without labels are basically good for nothing. Label everything on the chart. In line charts for instance, indicate what the x- and y-axis represents.
  • Include units. Numbers without units could be anything. Indicate whether that number is a percentage, is in centimeters or in meters, etc., so everything is clear.
  • Remove background noise. There are unnecessary lines and borders that populate charts, so be sure to delete those.
