How to Design Effective Agenda?
An effective agenda guarantees that the meeting is useful. However, designing such an agenda surely requires some care. We have mentioned below, how you can design an effective agenda. First, decide on the participants who would be attending the meeting then talk to them about the topics that they think should be covered in the meeting.Once you have got a list of topics, select the ones that would engage all the participants constructively. Confine the number of topics in an agenda to 5. Anything more than that would mean lack of concentration on part of the participants.
Start by including the basic information about the meeting like date, time, venue, names of participants etc.
Before you begin designing the meeting agenda, allocate some time to review and edit the agenda. Sometimes, even the participants may want to include or remove certain topics from the agenda.Think of what goals these topics will meet and then finalize them. Below the goals, list the relevant topics. It would be a good idea to put down the topics in form of open-ended questions as these would facilitate the discussion and encourage everyone to chip in with their ideas. Make sure to specify the outcome of each topic i.e. whether it is to take a decision, find a solution, share information or seek advice. Allocate a reasonable amount of time to each topic.
