Basic Steps in Writing a Letter of Intent

  • List down the reasons for writing your letter of intent. Before you can write a letter of intent, you need to list down first the reason for writing your letter and assess which information you need to cover in your letter.
  • Conduct an intensive research. Maximize all your available resources in order to know more about the individual or company whom/that you are sending your letter to. Know their standards, culture, and most especially, the requirements for them to accept your application, request, or for them to want to address your concern immediately. You can use the Web, make phone calls, or interview relevant individuals.
  • Know the complete name and title of your letter’s target recipient. Your letter recipient would feel more obliged to respond to your letter of intent when you address them personally. By personally, it means that you address them using their complete name with the accurate titles that they deserve. While it may seem like a minute element in a letter, this part is actually essential since your specificity in addressing your recipient can be indicative of how earnestly and seriously you approach the subject matter of the letter of intent.
  • Start your letter by stating your intent clearly. The best way to start your letter is to immediately bring the focus of the recipient to your letter’s purpose. There really is no use going to detours and rambling on in different directions because that would only cause confusion on the part of the recipient, to which he/she might decide to stop reading your letter altogether. Another reason why it’s important to state your intent on the first or second sentence of your letter is to make your recipient prepare himself or herself for the contents of your letter by bringing his/her awareness to its purpose. By doing so, your recipient would be better able to formulate responses or take appropriate action with regard to your letter’s concerns.
  • Elaborate more by adding necessary details. Depending on the purpose of your letter, this part should be dedicated to expounding more about your concern by stating specific details or information. For example, if your letter of intent is for your job application, you can enumerate in this part your qualifications and salient skills and attributes that would attract the attention of the hiring manager. In the same way, if you are offering a contract to someone, you would write in this part the specific terms and conditions of the contract.
  • Give your contact information for future use. Most of the time, the individuals who would receive your letter are busy people, that’s why it would do you well if you make things easier for them by indicating your complete contact number and email address, if any. This way, they can simply call you should they have pressing concerns or clarifications regarding your letter.
  • Close your letter of intent formally. Your letter of intent must always observe the proper rules on formal letters. That’s why, you need to avoid being too informal in your letter closing.

Different Types of Letters of Intent

People might have different reasons for writing a letter of intent and thus a letter of intent can take different forms. The following are examples of letter of intent that are commonly used or written:

Employment Offer Letter of Intent

An employment offer letter is also known as job offer letter. This letter is usually prepared by hiring managers, recruiters, employers, and business owners. A job offer is sent by any of the previously mentioned individuals to a job applicant. This letter is usually sent after the recruiter or hiring manager has examined the qualifications of an applicant and have concluded that, indeed, such an applicant is the perfect fit for the job position that he/she is applying for in the company. When writing this letter, you must observe the following guidelines:

  • congratulate the job applicant for the good impression that he/she has left on you during the job application process;
  • formally invite him/her to work as an employee of your company for a specific job position;
  • indicate the amount of salary that he/she can expect from such job position;
  • include the benefits that he/she can avail of once he/she becomes a regular employee of the company;
  • inform the job applicant regarding the process of how to get incentives in order to earn more money;
  • give them a brief overview of the company’s rules, policies, and regulations;
  • provide them the necessary details of their job description and of the job expectations;
  • specify the time, date, and location for the signing of the employment contract should the job applicant decide to accept the job offer;
  • provide a contact number or email address that the applicant can contact should he/she have inquiries regarding the job offer specifics; and
  • tell them to bring specific requirements and credentials necessary for preemployment should he/she decide to accept the job offer. Examples of the more common requirements are medical test results, social security documents, tax documents or information, educational certificates and diplomas, grade cards or transcript of records, etc.

Job Application Letter of Intent

A job application letter of intent is similar to a cover letter. The benefit of opting to write a letter of intent in lieu of a cover letter is that you have more freedom to provide your recruiter with a more in-depth picture of your character. Unlike cover letters in which you are limited to highlighting only those qualifications that are directly related to the job position that you are applying for.

College Application Letter of Intent

A college application letter of intent is the type of intent letter that is sent by prospective students who want to obtain a slot in a college degree program. Most universities are picky with the type of students they would accept in their institutions, that is why the college application letter of intent is vital during the application process. When writing this letter, you have to exhibit the characteristic of a highly intelligent individual who can combat complex subjects or topics. Also, this letter doesn’t have to stick to a particularly dry and predictable flow of content. A prospective student aiming to study a particular course should be able to dazzle the school administrators with his/her strong command in language, good persuasive skills, and high motivation to learn and study the subject matter commonly tackled in the course that he/she is applying for.

MBA Application Letter of Intent

An MBA application letter of intent is a specific type of academic application letter. This is specifically for those who want to study Masters in Business Administration. Most of the individuals who opt to pursue Masters in Business are those who are graduates of any of the following degrees/courses:

  • Business Administration,
  • Management,
  • Economics,
  • Marketing, or
  • Advertising.

Before applying for an MBA, you need to assess your qualifications and skills first. You need to have business acumen and impressive interpersonal skills. You must also have an eye for the purchasing trends of present and prospective customers.

Research Grant Letter of Intent

The purpose of a research grant letter of intent is to ask permission from the relevant authorities to conduct a research. This letter should include the following parts:

  • the statement asking for permission to conduct a research;
  • the title of the research;
  • the subject matter of the research;
  • the significance of the research;
  • the type of research activities to be conducted;
  • the time and date when these research activities would be conducted (usage of library references, surveys, interviews, etc.); and
  • the estimated duration of the research.

Internship Letter of Intent

Most graduating college students are required to undergo an internship program wherein they will work as interns in a specific institution or company doing tasks that are directly related to the course or degree that he/she is studying. An internship letter of intent is sent to respective companies, corporations, government institutions, and other entities that an intern aims to train in. This letter must emphasize the academic achievements of the student and the skills that he/she has learned.
