What Is a Resignation Letter?

A resignation letter does not have to be long. One page is all it takes to say what needs to be said when it comes to your plans of resignation. The format? Well, it’s not as complicated as it seems! A resignation letter format is formatted just like how a typical business letter is formatted. To make it even clearer, here are the basic elements that are found in a resignation letter.

  • Your personal information. This is composed of the following:
    • Name
    • Address
    • Phone number
    • Email address
  • Date. This pertains to the date when you wrote or sent the letter.
  • Employer contact information. The following will be found in this part of the letter:
    • Name of the recipient
    • Job title or the designation of the recipient
    • Name of the company
    • Company address
  • Salutation. The generic salutation “Dear” will be most appropriate for this letter. You also have to make sure that you include the name of the recipient. It is up to you whether you will use the first or last name of the recipient, it depends on the relationship you have with him/her. Just make sure you spell the name correctly and that you make use of the appropriate titles as well.
  • Body of the letter. The body of the letter will contain all of the necessary things that you need to tell your employer about your departure from the company. This is typically cut into three parts—the first paragraph, the second paragraph, and the concluding paragraph.
    • First paragraph. Resignation letters are straight to the point. There is no need to sugarcoat what you want to relay. In the very first paragraphs of your letter, you have to immediately point out that your letter is meant to inform them that you are leaving your job.

    • Concluding paragraph. Reiterate your thanks briefly in this part of the letter. You should also let them know that you are willing to help out with the transition period.
  • Choose an appropriate closing. Make sure that you close your letter professionally and appropriately.
  • Sign your letter. Leave about two or three spaces after the closing greeting and type your name. Below your name, state what your job title is. Above your typed name, make sure that you affix your signature.

 

A few more things about formatting your resignation letter are as follows:

  • If you are going to print your resignation letter, make sure you make use of good quality paper that will not easily get crumpled. A 20lb paper would be great for this letter.
  • Be mindful of the spacing in between each line. If your letter is a bit long, keep the spacing to at about 1.15pt. If your resignation letter is relatively short, keep the spacing at around 1.5pt.
