What Is a Tax Invoice?

When there is an input tax claim, the business would need to provide a tax invoice to support that claim. A tax invoice in an invoice that is issued from one supplier to another during a sale. While a sales invoice is issued when making a sale to a buying customer, a tax invoice is issued to another registered dealer. The main aim of issuing these tax invoices is to avail of input tax credit. Businesses, however, would need to keep these tax invoices that they issue to their customers and those given to them by other suppliers for a period of at least 5 years.

There are some important details that should be present in a tax invoice:

  • The words “Tax Invoice” or any indicators that it is intended to be one

You have now delivered the goods or performed the necessary services to your clients exactly how you have both agreed on. Now, you have to get paid. After all, that is the aim of doing business. It is not always easy to send invoices to your clients and so here are seven simple, useful tips that you can use when sending that invoice to your clients.

  • Automate. One way of getting rid of the awkwardness of sending invoices is to automate your invoicing process. Also, automating the process makes you more accurate and saves you money.
  • Send quotes to clients. So that clients do not get overwhelmed when they see the invoice, regularly send them price quotations. Send also terms on how payments are to be done. Constant communication is key.
  • Create an invoice numbering system. It is easier to refer to when each invoice has a unique number. This applies to all types of invoices (e.g., Contractor Invoice, Hotel Invoice, etc.).
  • Maintain a polite language. Your clients would appreciate that you have taken the time to thank them for their continued patronage. Be polite even when referring to other services or products that you offer.
  • Clearly state the due date. There will be no conflicts and late payments when you clearly state the due date on the invoice. Consider applying fees for late payments.
  • Send invoices on time. You need your customers to pay on time, so make sure to also send your invoices on time. Have a regular schedule when you’ll send them (i.e., monthly, biweekly, and so on).
  • Send reminders. There will always be clients who forget about the invoice or who always put payment to the last minute. In this case, always follow up politely.

A pro forma invoice is a document that outlines how much goods and services will cost. These documents are often sent by the seller to the buyer before all the details are available.
