What are invoices? Invoices can be defined in a few ways. Invoices in accounting is defined as accounts payable, in which the person in debt, aka the client, is required to pay for the purchase of materials or services; while in business, an invoice is used as a means of cataloging potential profits. Now, there are several kinds of invoices. Just to give you an idea of the different kinds, let us name a few. Examples are Hotel Invoice, sales invoice, purchase invoice etc.

Of the examples stated above, most likely the one that caught your attention would be the pro forma invoice, maybe because of the name its self or maybe because of its definition. A pro forma invoice is a type of invoice that behaves similarly to an agreement form, in which the seller is obliged to transport the purchaser’s requests of services or materials immediately.

Why Are Invoices Important?

Well, the importance of an invoice can be classified as a means of keeping track of payment made and to be made for services rendered by the company to the client; however, as the exact function of an invoice has been stated already, the secondary function of an invoice is that it can behave as an unofficial receipt of purchase or transactions, and depending on the type of format used, they could have other functions. Let us use a sales Invoice Format as an example. A sales invoice does everything an ordinary invoice is used for, however, it can be used in accounting as a way to identify cost and profit.

When Is an Invoice Generated or Needed?

Invoices are generated when there is a need to catalog any and all transactions being made between a company and a client. This is usually done so as to keep a written record of all the transaction that occurred and to sum up the estimated price for the client’s services or material specifications.

What Is a Deposit Invoice?

A deposit invoice is basically the company’s means of insurance when transporting products to a client, especially if it’s their first time doing so. A deposit invoice doubles as a type of contractual agreement in which the two parties agree that the purchaser agrees to pay a certain amount of the cost in advance before the seller begins transporting the products.

When the products is successfully transferred to the buyer, the buyer will then pay the remaining amount in the balance. This kind of transaction method is not uncommon. To be exact, several shipping companies perform this method of transaction to prevent complete loss of profit and to have funding for the transportation of the products or services.

Now, Sales Invoice Templates behave somewhat similarly to the deposit invoice; however, the difference is in method of payment. There are several types of invoices and in different formats like invoices Doc, invoices word, and Invoices Excel. Of the three types, it can be said that the easiest one to create would be invoices in Excel format.
