What Is a Final Notice?
A final notice is a document, usually in formal letter format, that is deemed to be legal that is usually issued to a recipient when he/she fails to make any significant change when he/she was issued an initial notice. This is considered to be the last document to be issued before any legal action or before any corresponding consequence is carried out. This aims to warn the recipient that corresponding actions will be taken against them if they choose to not make changes or not meet the obligations.
One good example for this would be a failure to pay postpaid cellular plans. When a postpaid subscriber fails to pay the amount due after a deadline, reminders would usually be sent to let them know that they have missed the payment deadline and a payment extension of a few days would be given. Should the extension be missed, a warning letter would be given that the number being used for the postpaid line would be cut off if payment is still not made for a deadline given. If payment or payments are still missed after a few extensions, a final notice letter would be addressed to the postpaid plan subscriber asking them to make a payment 15 or 30 days after the date in the letter, and should the subscriber fail to pay for his/her postpaid plan, the account will be permanently suspended, the account holder will be blacklisted, and the credit score of the subscriber will definitely be affected.
The Importance of Final Notice
A final notice is deemed to be important as it serves as a legal proof that proper protocol has been followed before taking any legal actions against the recipient. It is also a good means of letting the recipient know that their actions and irresponsibility have corresponding consequences and that it is taken seriously.

What to Include in a Final Notice?
Your final notice should contain all the important details that you should always include to ensure that your message gets across without any problems and your notice ends up clear. So what are these important details we are talking about?
1. Date
This refers to the date when the letter was written. This is the date that is reflected in your notice letter.
2. Recipient
Make sure that you are able to spell the name of the recipient correctly. When addressing the recipient, make use of his/her last name. For instance, the complete name of your recipient is David Smith, you will address him as Dear Mr. Smith.
3. Previous warnings
Make sure you include a few important details about the previous warnings or notices that you have issued a few days prior to this final notice. Mention the dates when it was issued and the reason why the previous employee warning notice or notices were issued to the recipient. Mention what were the suggested correctional methods as well. If there were meetings conducted, it would be a good idea to mention the name/s of the person or people involved during said meeting.
4. The number of warnings
Mention the number of times that the recipient has been warned.
5. Reason
Let the recipient know the reason/s why you are issuing this final notice. Make sure to explain it in a clear and concise manner. Mention the action or response that the recipient has promised but failed to deliver. You may also see payment notice samples & templates.
6. Punishment
State the punishment or consequence that would be implemented should the employee not follow the suggested solution/s or the solutions he/she has promised to do in order to correct the mistakes he/she has committed. Be firm with your words. You may also like two weeks notice samples & templates.
7. Time frame
Mention the amount of time that the recipient has in correcting the mistake/s or offenses committed.
8. Procedures
Give specific instructions to the recipient about the steps that he/she needs to take in order to correct those mistakes.
As we have established, final notice templates are very important and are considered to be very serious documents. This is the reason why the way these documents are written should be done with care and precision to ensure that the message you want to relay to the recipient will be received on a clear note. You want to make sure that he/she has a good understanding of why the notice has been issued. A poorly-written and poorly-handled final notice could confuse the recipient about the reasons and can also bring up a lot of questions. As much as possible, you want to make sure that there will be no need for the recipient to raise any questions.
